1. Introduction

This Privacy Policy explains how we collect, use, disclose, and safeguard personal information provided by parents and guardians ("Users") when making meal payments through our school mobile application ("App"). This policy applies to all personal data processed in connection with the meal payment gateway.

By using the App to make payments, you consent to the collection and use of your personal information as described in this Privacy Policy.

2. Who We Are

The school ("we", "us", or "our") operates the meal payment portal on behalf of its parent institution. All personal data collected is managed in accordance with the Personal Data Protection Act 2010 (PDPA) of Malaysia.

3. Information We Collect

When you register and make payments through the App, we may collect the following personal information:

• Full name of parent or guardian
• Mobile phone number and email address
• Child's name, class, and student identification number
• Payment card details (processed securely via the payment gateway; card numbers are not stored by us)
• Transaction history and meal order records
• Device information and IP address for fraud prevention purposes

4. Purpose of Collecting Personal Information

We collect and process your personal data for the following purposes:

• To facilitate and process meal payment transactions through the App
• To verify your identity and your child's enrolment at the school
• To send payment confirmations, receipts, and transaction notifications
• To manage meal orders, cancellations, and refunds
• To detect, prevent, and investigate fraudulent or unauthorised transactions
• To improve the functionality and user experience of the App

5. How We Use and Share Your Information

Your personal information may be shared with the following parties, strictly for the purposes stated above:

• Payment gateway service providers — to facilitate secure transaction processing
• School administrators and authorised staff — for meal management and student record purposes
• Government authorities or regulators — where required by law or court order

We do not sell, rent, or trade your personal information to any third party for marketing or commercial purposes.

6. Data Retention

We will retain your personal data for as long as necessary to fulfil the purposes described in this policy, or as required by applicable law. Transaction records may be retained for a minimum of seven (7) years in compliance with financial and tax record-keeping requirements.

7. Data Security

We implement appropriate technical and organisational security measures to protect your personal data against unauthorised access, disclosure, alteration, or destruction. We do not store full credit or debit card numbers on our servers.

8. Your Rights as a Data Subject

Under the Personal Data Protection Act 2010 (Malaysia), you have the following rights:

• Right to access your personal data held by us
• Right to correct inaccurate or incomplete personal data
• Right to withdraw consent for the processing of your personal data (note: this may affect your ability to use the payment features of the App)

The App may use session tokens and device identifiers to maintain your login session and improve app performance. These are not used for advertising or tracking beyond the scope of the App.

We reserve the right to update this Privacy Policy from time to time. Any changes will be notified to you via the App or by email. Continued use of the App following notification of changes constitutes your acceptance of the revised policy.

TERMS AND CONDITIONS

1. Agreement to Terms

These Terms and Conditions ("Terms") govern your access to and use of the school meal payment features within the mobile application ("App"). By registering and making a payment, you agree to be bound by these Terms. If you do not agree, please refrain from using the payment features of the App.

2. Eligibility

The payment portal is available exclusively to parents and guardians of currently enrolled students. Use of the App for meal payments is subject to the school's enrolment records being current and accurate.

3. Permitted Use of the Payment Portal

The payment portal is provided solely for the purpose of purchasing school meals for enrolled students. Users agree to:

• Use the portal only for lawful purposes
• Provide accurate and complete payment and personal information
• Not attempt to manipulate, hack, or interfere with the payment system
• Not impersonate another parent, guardian, or school staff member

4. Payment Processing

You authorise the school's payment service provider to charge the specified amount to your nominated credit or debit card.

• Payments are subject to approval by your card issuing bank
• The school does not store your card details; all card data is handled by the payment gateway
• Transaction receipts will be sent to your registered email address
• In the event of a declined transaction, please contact your bank or try an alternative payment method

5. Warranty Disclaimers

The App and its payment features are provided on an "as is" and "as available" basis. While we strive to maintain continuous availability, we do not warrant that:

• The App will be uninterrupted, error-free, or free of viruses or other harmful components
• Payment processing will be instantaneous or always available
• All information displayed in the App is free from inaccuracies at all times

We shall not be liable for any loss or damage arising from the unavailability of the payment portal due to technical maintenance, network issues, or circumstances beyond our reasonable control.

6. Billing Information

You are responsible for ensuring that your billing information is accurate and up to date. The school accepts no responsibility for failed transactions arising from incorrect card details, expired cards, or insufficient funds. All charges will appear on your statement under the school's or payment processor's registered merchant name.

7. Refund Policy

Refund requests for meal payments will be considered under the following conditions:

• Duplicate or erroneous transactions — refund will be processed within 7 to 14 working days to the original payment method

8. Account Termination

Your access to the payment portal may be suspended or terminated under any of the following circumstances:

• Providing false or misleading information during registration
• Attempting fraudulent transactions or chargebacks without valid grounds
• Misuse of the App in violation of these Terms
• Student ceasing to be enrolled at the school
• Written request by the account holder to close the account

Upon termination, your transaction history will be retained for the legally required period but access to the portal will be revoked.

9. Intellectual Property and Copyright

All content within the App, including but not limited to logos, graphics, text, software, and user interface design, is the intellectual property of the school and/or its technology partners. You may not reproduce, distribute, modify, or create derivative works from any content in the App without express written permission.

Any user-generated content submitted through the App (such as feedback or reports) may be used by us for service improvement purposes, and you grant us a non-exclusive licence to use such content accordingly.

10. Requirements for User-Generated Content

Should the App include features that allow users to submit content (such as special meal requests or feedback), users agree that all submitted content:

• Is accurate and not misleading
• Does not contain offensive, unlawful, or defamatory material
• Does not infringe the intellectual property rights of any third party
• Does not include any personally sensitive information of third parties without their consent

11. Limitation of Liability

To the fullest extent permitted by law, the school and its affiliates, officers, and service providers shall not be liable for any indirect, incidental, or consequential damages arising from your use of the payment portal, including but not limited to loss of data, financial loss, or interruption of service.

12. Governing Law

These Terms shall be governed by and construed in accordance with the laws of Malaysia. Any disputes arising from the use of this payment portal shall be subject to the exclusive jurisdiction of the courts of Malaysia.

13. Amendments to These Terms

We reserve the right to amend these Terms at any time. Users will be notified of material changes via the App or by email. Continued use of the App after such notification constitutes acceptance of the updated Terms.
